An opportunity has arisen for an experienced full-time receptionist to join the team at A C Mole.  As our front of house receptionist you will be the first point of contact for visitors to the office and will be responsible for taking external calls in a timely manner.  As such a warm, friendly and professional approach to clients is essential to this role.

In addition you will be expected to complete various administrative tasks, so experience in this area is also important.  You will be part of the administrative team, working collaboratively to ensure all tasks are completed.

Daily responsibilities

  • Welcome visitors in a professional and friendly manner
  • Answer and direct phone calls, taking messages where necessary
  • Handle incoming and outgoing mail, including sorting, scanning and distributing correspondence
  • Carry out opening and closing routines for the office
  • General typing such as letters and invoices
  • Monitor office supplies and place orders as needed
  • Perform clerical duties such as filing; photocopying and scanning
  • Diary management
  • Opening electronic client files and maintaining client data
  • Data entry to accounting software
  • Other related duties as allocated by management

Essential skills and experience:

  • Previous experience in a receptionist role
  • Strong organisational skills and the ability to multi task effectively
  • Computer literate and comfortable with using Microsoft Word, Excel and Outlook
  • Strong typing skills with a high level of accuracy. Audio typing experience is desirable but full training can be given
  • Professional and friendly telephone manner
  • Ability to work well alone or within a team, and within a team to take responsibility for assigned areas
  • Experience of IRIS Practice Management software and/or experience of working in an accountancy environment would be advantageous but not essential as full training will be given
  • Willingness to carry out Fire Marshall duties
